Teamwork Creates a Refreshing Change for Bandung Office

These days, start-ups have started to significantly change the way that office space is designed. With this in mind, Mitrais is always looking at creative solutions that provide our staff with an environment that supports enhanced comfort and productivity.

With the subsequent expansion of the Bandung office in 2018/19, everyone wanted to earmark a space for this multi-purpose area, with the aim of being able to host everything from casual gatherings to full-scale company events. Mitrais management gave over an entire floor of the expanded office for this purpose.

As well as providing a large gathering space for “village meetings”, presentations, client visits and other formal gatherings, we wanted the space to offer alternative workspaces for anyone how wanted to spend some time outside of their normal workstations, and even to provide staff with recreational options to reduce stress and encourage socialisation. This seemed like a great option and everyone was excited, but exactly what should be included, and how should it be designed?

Luckily, the Mitrais family is full of talented individuals who are more than happy to help. Designer, Wiena, took the lead, and collaborated with a large group of colleagues to start designing and visualising the space. The results were impressive from the start. Wiena and the team developed detailed digital renditions which included 3D models that allowed everyone to take a “virtual” tour before any construction had even been started! Staff were surveyed to determine their preferences for facilities, furniture, and even décor.

Some helped to choose furnishings (even going shopping to get exactly the right pieces), while others set to work creating a fantastic mural artwork to really add to the atmosphere. Soon the area boasted framed photographs, a beautiful aquarium stocked with a dazzling variety of fish and shrimp (also donated by staff), a television, and a library of books. Our colleagues were involved in every aspect of the build, from carpentry work to produce a Carom board platform and chairs, to installation of decorative lighting features. We knew Mitrais staff are talented, but who could guess that all these other skills existed within our family?

After almost 6 weeks, the space was ready. Equipped with TV, billiards table, carom table, table tennis, PlayStation, darts, chess and Jenga, it is a perfect space to sit and eat lunch or decompress after a hard day. With bean bags and tables spread about, it is also a perfect place for small teams to get together to discuss project progress. And it can be converted in no time to host formal gatherings.

Nowadays, many prefer to spend some time after work socializing and playing games while they wait for the notorious traffic jams to abate. Everyone agrees that the amazing teamwork has delivered a huge benefit to Bandung office and staff morale.

Mitrais Open Forums Goes Ahead Despite COVID-19

In response to feedback from staff via the regular staff survey program, Mitrais implemented our Open Forum events from January 2019. The Open Forums, which typically take place 3-4 times in every year, are another opportunity for Mitrais Management to interact directly with Mitrais staff. The Forums are a great platform for conveying organisational updates to all staff in real-time and affording everyone the chance to raise any questions or concerns that they may have directly with management to get the answers they would like immediately where possible. All staff are invited, and while not compulsory, everyone is encouraged to take part.

With the changes that the international COVID-19 situation has forced on business world-wide, it was more important than ever that the Open Forum scheduled for March 2020 go ahead. As Mitrais has rapidly transitioned to an overwhelmingly Work-from-Home (WFH) model, there were bound to be lots of questions and comments regarding these changes, and it was vital that the communications channels within Mitrais stayed open and operational.

So, on 19 March, Mitrais’ Open Forum went ahead in an entirely online manner. Using Zoom collaboration software, a record 309 staff came together from their bases in Indonesian, Japan, Vietnam and Australia in an interactive event co-hosted by President Director Wiwie Harris and VP Software Development, Gusti Putu Kompiang.

Although we covered a lot of topics, COVID-19 measures and Mitrais’ evolving WFH arrangements unsurprisingly dominated the discussions, and many staff asked great questions regarding the details that resulted in a very productive discussion. The opportunity was a perfect one for clarifying changed policies, dispelling some misinterpretations and misunderstandings, and drilling down into the detail of how work life in a post-virus world will actually work. As well as answering questions, the Forum raised some action items for management to address and clarify based on the questions asked. A big thanks is owed to everyone who contributed so fully to the event.

It was impressive to see such a large and international group come together so seamlessly to be involved in an open, productive and interactive discussion, despite the social isolation necessary given the circumstances. As an organisation that has been a tireless champion of the advantages of geographically diverse teams, it is another example of Mitrais “walking the walk” as well as just “talking the talk”, and the forum’s success is a credit to all involved.

We now look forward to the next forum, knowing that whatever the situation, we can make it happen.

Mitrais Goes All-In on SCRUM Certification

Over the last decade a lot has changed in the global software development ecosystem, and perhaps one of the most significant changes has been the move away from monolithic “Waterfall” project methodologies toward a more Agile (and specifically SCRUM) paradigm.

You will have certainly heard about the enhanced efficiency and flexibility that a SCRUM-based approach can deliver on your software development projects, and you may even have been involved in projects of this nature. There is a growing number of organisations globally that have retooled to support SCRUM development and are reaping the benefits every day.

But while SCRUM is sometimes viewed by those new to the methodology as being less process-driven, proscriptive, and stringent in its approach than more traditional strategies (like Rational Unified Process for example), the reality is different. While SCRUM certainly does support project agility by empowering teams to continuously fine-tune the project roadmap in response to changes in technology, requirements and owner feedback, it generally requires a much higher level of team member sophistication, knowledge and process understanding to succeed than has been necessary in more linear methodologies.

In response to this need, Mitrais’ Centre for Competency Development (CDC) has been working hard over the last few years to equip our team with all of the SCRUM-specific skills necessary to help our clients transition to or continue with their Agile development projects. Our aim is to be a valuable partner to our clients, able to accelerate project velocity by providing comprehensively trained and experienced staff to plug into existing SCRUM implementations or provide authoritative advice on how to transition to SCRUM for upcoming projects. This is an on-going priority for Mitrais.

They also exhibit the skills needed to create a safe environment for meaningful collaboration and healthy conflict resolution within an Agile team.
